Inviting users adds your musicians to your organization and gives each of them access to the parts they need. You’ll need admin access to do this. Tip: Set up your instrument list first, so you can assign the right parts as you invite people.
1. Open the members list
On the Users page, you’ll see a single Members table listing everyone in your organization — including people you’ve invited who haven’t joined yet. Invited members show up as a slightly shaded row until they accept.
2. Send an invite
- Click the Invite button at the top of the Members table.
- Email Address: enter the user’s email.
- Role: choose their access level:
- User — can access the organization and their assigned music.
- Admin — can edit the organization, invite users, upload and edit music, and manage settings.
- Conductor Access: check the Conductor box if this person should see conductor scores.
- Instrument Access: select the instrument part(s) this person should have. This is what keeps each musician’s view limited to their own parts.
- Click Send Invite.
3. What happens next
The person receives an email invitation and appears in your Members table as a shaded, pending row. To access the app, they’ll need to create a Virtual Song Book account with that same email address. Once they accept, their row becomes a full member.
