When an arrangement changes, you don’t have to delete and re-add the song — or reprint anything. You can swap the files on a song that’s already in your library, and your members get the updated version in the app. You’ll need admin access, and you make the change from your organization’s library in the web app.
Update a song
- On the songs page, find the song you want to change.
- Click the pencil/edit icon for that song. This opens the same dialog you used to add it, with all the existing details and files already loaded in.
- Drop in the new file to replace the old one — for example, a revised Portrait PDF or an updated Audio (MP3). You can replace as many of the files as you need.
- Click Save. The new file uploads and replaces the previous version.
Because it’s the same dialog as a new upload, you can also fix other details here while you’re in it (the song name, arranger or original artist, or the Dal Segno markings) or add a file type the song was missing.
How parts update
Replacing a score works just like the original upload: parts are matched to your instruments again using your instrument list keywords. If the new file labels a part differently than before, make sure that wording is covered by the instrument’s keywords so it still lands with the right players.
How members get the update
When a member opens the app while connected to WiFi or the internet, it checks their downloaded copy against the current file. If a newer version is available, the app flags that song with a download icon — the same marker that appears when a song hasn’t been downloaded yet. To get the updated version for offline use, the member taps into the song and downloads it again; until they do, their offline copy stays on the previous version.
