Uploading a song adds its sheet music and audio to your organization’s library so members can pull up their music on any device. You’ll need admin access to upload. Start from your organization’s library — and if you haven’t already, set up your instrument list first, so parts sort themselves to the right players automatically.
1. Open the Add Song form
Click the Add Song button at the top of the page to start the upload.
2. Enter the song details
- Song Name: the title of the song.
- Arranger and Original Artist (optional): adding these makes the song easier to find when members search the library.
3. Add Dal Segno markings (if your song uses them)
If the song includes a Dal Segno and spans multiple pages, adding these markings makes a jump button appear in the app so that performers can jump straight back to the D.S. sign during the piece. Enter:
- The page where the D.S. al Coda or D.S. al Fine instruction appears.
- The page where the D.S. sign appears.
4. Upload the song files
All files are optional, but the more you include, the more useful the song is in the app. Add whichever apply:
- Portrait PDF: the song in portrait orientation, for members viewing their device vertically.
- Landscape PDF: the song in landscape orientation, for members viewing horizontally.
- Full Score PDF: the conductor’s full score.
- Audio (MP3): the playback track — this is also what lets members adjust the tempo for practice.
5. Save
Click Save. The song begins uploading, and the PDF files are processed.
How parts reach your members
When you upload a song, Virtual Song Book automatically assigns its parts to the right instruments using the keywords in your instrument list. As long as your instrument list is set up, each musician sees only their own part — no manual sorting needed. If a part doesn’t land where you expect, check that the way it’s labeled in your file is covered by that instrument’s keywords.
Tips for a smooth upload
- Name files clearly. Clear PDF and MP3 file names avoid mix-ups during upload.
- Keep formatting consistent. A consistent format across songs keeps your library uniform and easy to navigate.
What’s next
Once your songs are in the library, you can group them into a set for a gig or rehearsal, and have your members download them for offline use.
